Job Description:
The purpose of the Team Assistant is to proactively provide a high level of executive assistant support to the Heads of Corporate Affairs, Government Relations and Strategy & PMO in the AASA office.
Key responsibilities include:
- Extensive coordination and booking of worldwide travel arrangements for the team including detailed itinerary and programme, relevant visas and logistics.
- Support Heads with arrangements for internal and external meetings and proactively resolve all calendar conflicts.
- To support and guide the team in processing expenses through the online tool in line with company policy.
- To produce high quality documentation, and reports in support of the team.
- Managing the online department physical and electronic filing system for the executives and team, ensuring relevant materials are stored for audit / compliance and follow the document retention policy and legal discovery guidelines.
- To support internal and external events for the team.
Qualifications:
- Undergraduate degree or equivalent
Role-specific Knowledge and Experience:
- Travel and expenses booking tools an advantage (ideally Concur)
- SAP Procurement (advantageous)
- Proven working experience in supporting multiple senior management leaders
- Proven experience in a multinational corporation an added advantage
- Ability to maintain confidentiality and use discretion with internal and external stakeholders
- Advanced Microsoft packages
