  • Coordinates CEO’s schedules and makes appointments;

  • Ensure a Strategic and Proactive calendar (daily scheduling and meeting arrangements) for internal and external purposes across various time zones

    • Calmly and efficiently manages priority and scheduling changes as they occur to assist the CEO in maintaining timely arrival and attendance to meetings and events

    • Arranges detailed travel plans and itineraries and compiles documents and expenses for travel related meetings and events

    • Accountable for Travel & Expense processing

    • Coordinates and facilitates maintenance of the Executives office equipment (included facilities, supplies, general office equipment such as printers, fax machines, conference calls, telecom requests and web based meetings)

    • Performs administrative duties such as filing, typing and copying of documents

    • Coordinates and arranges meetings, prepares agenda’s reserves and prepares facilities, and records & transcribes minutes of meetings

    • Composes and prepares confidential correspondence, statistical reports and other documents;

    • Financial administration – submitting claim, requisition and reimbursement forms and ensuring payment to vendors for various office related expenses

    • Coordinates and arranges client and office entertainment, functions, off-site conferences and team building getaways for the CEO’s office. Generally assist in smooth administration and running the office;

    • Personal duties and assignments by CEO as and when required;

    • Responds to routine correspondence on behalf of CEO

    • Ensure security and confidentiality within the Office of the CEO

    • Assist with any reasonable and lawful instruction related to the business of the Employer;
